This is a starting template describing our current practices, pending review by qualified legal counsel. It is not a substitute for professional legal advice.
1. Who this policy covers
The Alpha Star TMS ("the system") is an internal operations tool used by Alpha Star Trucking LLC to run dispatch, fleet, compliance, and billing. It is built for authorized company staff — dispatchers, billers, and administrators — and, where applicable, our drivers. It is not a public-facing product and is not available for sign-up by the general public.
2. What data we store
To operate dispatch and comply with DOT/FMCSA recordkeeping requirements, the system stores:
- Employee and driver personal information: full name, home address, phone number, email address, and date of birth.
- Commercial driver's license (CDL) details: license number, issuing state, and issue/expiration dates.
- Medical certification (DOT medical card) dates.
- Uploaded document images, including driver's license and medical card scans/photos.
- Business records needed to run the company: loads, brokers, invoices, weekly settlements, fuel logs, maintenance records, and compliance/expiration tracking.
3. How and where it's stored
Data is stored in a Supabase-managed Postgres database and Supabase file storage; the application itself is hosted on Vercel. Access to database records is enforced by row-level security (RLS) policies tied to each staff member's account and role — the database, not just the app, is the security boundary. Uploaded documents (license and medical card images) are never served publicly; they are only accessible through short-lived, signed download links generated on request.
4. Who can access it
Only authorized Alpha Star Trucking LLC staff with an active account may access the system, and each account is gated to company-approved sign-ins. Access to specific records (for example, driver PII versus billing records) is further scoped by role.
5. Why we collect it
This data is collected and processed solely to operate dispatch and fleet management, run weekly settlements and broker invoicing, and maintain the driver qualification and vehicle compliance records required by DOT/FMCSA regulations. We do not sell data, and we do not use it for advertising.
6. How long we keep it
Records are retained for the duration of an employee's or driver's engagement with the company, and afterward for as long as required by DOT/FMCSA driver-qualification-file rules and standard tax and business recordkeeping requirements.
7. Cookies
The system uses only essential cookies required to keep you signed in and to maintain your session — there are no advertising or tracking cookies. We use Google for account sign-in, and the Fleet View live map uses Google Maps; both may set their own cookies as part of that functionality, governed by Google's own policies.
8. Your rights
Staff and drivers may request access to, correction of, or deletion of their personal data held in the system by contacting the company at alphastartrucking@gmail.com or 317-702-6658. Note that certain records must be retained for the periods required by DOT/FMCSA regulation regardless of a deletion request.
